What you need, and the seven steps, in order.

What you need

  • A Windows computer that stays on during the hours you want the rep working.
  • Google Chrome signed into the email account you send from (Gmail today) (the AgentsConnect app opens its own Chrome window for this).
  • The AgentsConnect desktop app and your account’s login link (we send it to you).
  • Optional but recommended: Telegram, so approvals and questions reach you on your phone.

Getting started — in this order

  1. Install the desktop app and start it. It sits in the tray and starts itself at sign-in from then on; if the rep process ever stops, the app restarts it.
  2. Pair it. Open your web app (the login link), go to Settings → Your rep’s desktop app → Get a pairing code, and paste the code into the app. Pairing is device-bound; you only do it once per computer. You can see and revoke paired devices in the same place.
  3. Pick the channel in the app: Gmail, Gmail + LinkedIn, or LinkedIn only (Outlook web is experimental). Then sign in in the Chrome window the app opens. The rep sends from that account and reads its replies there.
  4. Confirm your knowledge pack (Knowledge in the web app). We pre-fill it from your website; you confirm. The rep will not send anything until the mandatory facts are confirmed by you: your name and company, your reply-to address, your postal address (required by law in every cold email — a PO box or your registered office is fine, a placeholder is not), what you offer, your positioning and proof, terms, your website (it goes into the sign block of every email), and any assets (a one-pager, a line sheet, your booking link).
  5. Connect Telegram (Settings → Your rep on Telegram & WhatsApp → Connect Telegram), open the link, press Start. From now on approvals, questions and the daily recap arrive in that chat.
  6. Tell it who to look for. A search plan is your target verticals and cities plus the job titles you sell against. Set First touches per day in Settings (start with 3).
  7. Approve the first emails. Each first email arrives as a card; read it, then Approve, edit, “Write it again”, or Reject.

The knowledge pack

The pack is the only place the rep takes facts from. Prices, minimums, lead times, terms, availability — if it is not in the pack, the rep will ask you rather than guess. Mandatory items must be confirmed by you; a note-to-self such as “TBD” is treated as missing. When a prospect asks something the pack cannot answer, the rep sends you a one-line question; your answer goes into the pack and is used from then on. You can edit any item at any time in Knowledge. Objection answers you write into replies are saved as draft items for you to confirm.

The booking link

You do not have to make one. The rep opens Google Calendar in your own account, finds your appointment page (or creates one if you have none) and files the link in the pack. Every email that proposes a call then carries it. If you already use Calendly, put that link in the pack instead; bookings and cancellations come back to the rep automatically.

Approvals

  • Where they arrive: a desktop notice, the Approvals screen in the web app, and your Telegram chat as a card with buttons.
  • Your options: Approve, Approve with my edits (your text is sent, the signature and opt-out line are always kept), Write it again (the rep drafts a new version from today’s pack), Reject.
  • Rejecting a first email means “do not contact this prospect”: the follow-ups are cancelled too.
  • A card marked “the address is a guess” was built from the company’s email pattern; check it before approving.
  • A first email always waits for you by default. Replies and follow-ups obey your autonomy setting.
  • If a reply to a prospect waits on you for half an hour, the rep sends a short holding note so the thread does not go cold. A reply approval expires after four hours, other approvals after a day; expired ones come back to you as a question.

Conversations

  • Pipeline lists every thread by stage; open one to read it.
  • Take over a thread to answer it yourself; Hand back when you are done. If you simply reply from Gmail, the rep notices and stays out of that thread for a day.
  • Mark an order won (amount and reference optional): the account loop starts and a reorder check-in is scheduled.

Settings you will use

  • First touches per day — how many new prospects get a first email per day (0 stops new outreach).
  • AutonomyDraft only (you send everything), Standard (replies, follow-ups and standard assets go out on their own), Commit (can also book meetings and confirm standard terms). Discounts, custom terms and exclusivity always come to you.
  • Send first cold emails without asking me — off by default; a guessed address still asks.
  • Send LinkedIn connection requests without asking me — off by default.
  • Search plans — verticals, cities, sources (web, careers, LinkedIn), daily search quota, pages per search.
  • Daily recap on or off, recap hour and timezone; reorder check-in days for won accounts.
  • Devices — the paired computers; revoke one and it is signed out at once.
  • LinkedIn — on or off. When LinkedIn raises a security check, the rep stops on its own and tells you.

What the rep never does

  • Invent a price, a term, a discount, or a promise. Send a first cold email without you (unless you turn that on). Claim to be human. Send cold SMS or voice. Contact a suppressed or bounced address. Keep working while your computer is off.

Every day

  • “Your rep’s day” arrives at your chosen hour: replies answered, what went out, what got booked, what is waiting on you, tomorrow’s list. Quiet days send nothing.
  • The rep works in your business hours and takes one day off a week, so its activity looks like a person’s.
  • If the AI model behind the rep is unavailable, the rep pauses, tells you, and resumes on its own; incoming replies are recorded meanwhile. If your desktop has been off for a while, you get a note.

Frequently asked

  • A card says “the address is a guess” and names a person. The rep found them in public search results and built the address from the company’s pattern; the note shows their title and profile link. Approve if the person fits, reject if not.
  • The rep wrote to the wrong person. Reject the card — that prospect is closed. If it happens twice with the same search term, change the term in the plan.
  • An email bounced. The address is suppressed automatically and the follow-ups stop.
  • A prospect asked to be removed. Done on the spot, across every account you run; the rep never writes to them again.
  • Can I see what it found? Yes — Prospects in the web app, and Companies / People / Contacts in the desktop app, with the date each was found.
  • Google showed a CAPTCHA. The rep stops web searches for a day on its own; nothing to do.
  • Where is my data? On the AgentsConnect brain, in your tenant only; nothing is shared across clients. It is backed up nightly.
  • Can I stop it right now? /pause in Telegram, or set first touches per day to 0 in Settings.
